Cover Letter for a Remote Job: Structure and Example

Applications

A cover letter for a remote job has one extra purpose: it’s your first writing sample. Keep it short, specific and easy to scan. This article gives you a four-part structure, a complete example for a support role in Canada, and the mistakes that make recruiters stop reading.

Do you need a cover letter?

If the ad asks for one, yes. If it’s optional, a short letter usually helps for remote roles, because the people hiring want to see how you write before they trust you to work without supervision. If the application form has screening questions instead, put the same effort into those answers. The rest of the application – resume, interview, tests – is covered in applying for remote jobs in Canada.

The four-part structure

Each block is two to four sentences. The whole letter should fit on one screen without scrolling much.

The “remote practicalities” block is the part most letters miss. A single sentence – where you are, your time zone, when you can start and that you have a suitable workspace – answers the questions a remote employer has before they even ask.

Example: customer support specialist

Dear hiring team,

I’m applying for the Customer Support Specialist position posted on your careers page. I’ve used your booking app for my own small business for two years, and I like how clearly your help articles are written – I’d enjoy helping customers the same way.

In three years at a busy electronics retailer, I handled returns, warranty claims and complaints every day, and I trained four new colleagues on our returns process. Since last year I’ve also answered customer emails for a local bakery’s online orders, using Gmail templates and a shared order spreadsheet. I type quickly and accurately, and I’m comfortable learning new tools.

I live in Moncton, New Brunswick (Atlantic Time), so I can cover your Eastern Time hours easily, including early shifts. I have a quiet home office with a wired connection and a USB headset.

I’ve attached my resume and three sample replies to typical customer emails. Thank you for considering my application – I’d be glad to talk about how I could help your support team.

Kind regards,
[Your name]

The example is a model, not a template to copy word for word: replace every detail with your own true experience. Recruiters recognise generic letters quickly.

Tailoring in ten minutes

  • Underline the three most important requirements in the ad.
  • Match each with one piece of evidence from your experience.
  • Find one specific, genuine reason for choosing this company.
  • Use the job title exactly as written in the ad.
  • Read the letter aloud once – it catches clumsy sentences and typos.

Mistakes that get letters skipped

  • Repeating the resume instead of connecting it to the job.
  • Talking only about what you want (“this role would help me grow”) and not what you offer.
  • Clichés such as “I’m a hard-working team player” without proof.
  • Length: more than a page, or long paragraphs.
  • Wrong company name left over from the last application.
  • Personal details that Canadian applications don’t include – age, marital status, photo.

Format: if you upload the letter, use a PDF named “FirstName-LastName-Cover-Letter.pdf”. If you paste it into a form, remove the address block and keep the greeting and paragraphs.

After the letter comes the interview; our video interview tips cover the setup, and customer service interview questions the typical questions for support roles.

Common questions

How long should a cover letter be?

Three to five short paragraphs, well under one page. Recruiters skim, so every sentence should earn its place.

Should I write a new letter for every application?

Adapt it every time. The structure can stay, but the opening, evidence and company-specific reason should change with each job.

Can I send the cover letter in the email body?

Yes, if the application is by email. Keep the letter in the body and attach your resume as a PDF.
